Planning a Catering Event in Denver: A Host's Checklist

If you are hosting a catered event in Denver — whether it is a birthday party, corporate lunch, wedding reception, or backyard gathering — here is a practical checklist to help you prepare. This covers what Ichiban Catering handles, what the host needs to provide, and the timeline for a smooth event.

Step 1: Book early. Ichiban recommends booking at least one week in advance to secure your preferred date. During peak seasons — summer months and the November-through-January holiday period — book earlier. All bookings require a deposit, with terms confirmed at reservation.

Step 2: Choose your service. Decide between sushi catering, hibachi catering, or both. Sushi buffet starts at $70 per adult ($35 for children under 12), with a $700 minimum. Hibachi starts at $55 per adult ($30 for children under 12 (kids under 3 are free)), with a $500 minimum. The Chef's Special / omakase is priced at market rate.

Step 3: Confirm guest count and dietary needs. Share your estimated guest count when booking. If any guests have allergies, dietary restrictions, or special requests, let the team know in advance so they can review your event needs. The menu can be customized based on your preferences.

Step 4: Prepare your space. For sushi: provide a sturdy table (at least 6 feet) near a power outlet. Indoor or covered outdoor spaces work best. For hibachi: provide outdoor space or a well-ventilated indoor area with clearance from flammable materials. The chef needs enough room for the grill station plus space for guests to gather around.

Step 5: Arrange plates, utensils, and napkins. Guest plates, utensils, and napkins are not included in the catering service unless specifically confirmed in advance. This is the host's responsibility. Serving dishes for the food are provided by the chef.

Step 6: Plan your timeline. The chef arrives about 30 minutes before the reservation time to set up. Service typically runs 1.5 to 2 hours depending on guest count and format. After service, the chef cleans the service area. Plan your event schedule around this window.

Step 7: Know the cancellation policy. Cancellations made 7 or more days before the event receive a full refund minus card processing fees. Between 7 days and 72 hours: 50% refund. Less than 72 hours: non-refundable. Rescheduling must be requested at least 72 hours in advance.

What Ichiban handles: the chef, the station, equipment, ingredients, food preparation, service, and cleanup of the service area. What the host handles: plates, utensils, napkins, drinks, the venue, and any non-food event elements.

Denver-specific notes. The outdoor catering season in Denver typically runs from May through October. Hibachi works especially well outdoors. For events in high-rises or buildings with elevator-only access, let the team know in advance so they can plan the load-in. Most Denver venues are straightforward.
